Our designated Privacy Officer is Xuan Zhang, who is accountable for our compliance with this policy. You can reach the Privacy Officer at info@newgeducationinc.com or +1 647 872 5069.
2. What personal information we collect
Depending on the services you request, we may collect:
- Identity information: name, date of birth, citizenship, passport and travel document details, photographs;
- Contact information: email address, phone number, mailing address;
- Immigration file information: education history, employment history, language test results, financial documents, family information, medical and police certificates, prior immigration history and refusals, and any other documents required for an application to Immigration, Refugees and Citizenship Canada (IRCC);
- Payment information: billing details needed to process fees under a retainer agreement;
- Communications: emails, messages and consultation notes exchanged with us.
We collect personal information directly from you, or from third parties you authorize (for example, educational institutions, employers or family members assisting with your file).
3. Why we collect it
We collect and use personal information only for purposes a reasonable person would consider appropriate, including to:
- assess your eligibility for Canadian immigration and study programs;
- provide immigration consulting and representation under a signed retainer agreement;
- prepare and submit applications to IRCC and other government authorities on your behalf;

- meet our legal, regulatory and record-keeping obligations as a CICC-regulated practice;
- process payments and maintain accounting records.
4. Consent
We collect, use and disclose your personal information only with your consent, except where permitted or required by law. By providing your information to us, for example when requesting a consultation, you consent to its use for the purposes described above. You may withdraw consent at any time, subject to legal, regulatory or contractual restrictions and reasonable notice; withdrawing consent may limit our ability to provide services.
5. Disclosure of your information
We do not sell, rent or trade your personal information. We disclose it only:

- to service providers (such as secure document storage or payment processing) bound by confidentiality obligations;
- where required by law, regulation, court order, or the CICC.
6. Retention
We retain client files for a minimum of six (6) years after the file is closed, as required by CICC regulations, after which records are securely destroyed or anonymized. Information collected through general inquiries that do not become client files is kept only as long as needed to respond to you.
7. Safeguards
We protect personal information with safeguards appropriate to its sensitivity, including secure storage of physical and electronic files, access limited to those who need it for your file, and password-protected and encrypted systems for electronic records and communications. In the event of a privacy breach that creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.
